Executive Assistant

Job Description:

  • Provide diverse administrative services using a variety of professional and technical skills to assist executive with operational and process management
  • Be the first point of contact to people from both inside and outside the organization on behalf of executive
  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Organize and attend meetings and assist in meeting preparation
  • Represent the executive by attending meetings in the executive's absence; speaking for the executive
  • Record, transcribe and distribute minutes of meetings and follows up on actions
  • Coordinate project-based work
  • Manage internal communication: educational/promotional activities on various topics; presentations preparation of key terms related to everyday business
  • Conduct research, collect and analyze data to prepare reports and documents
  • Produce documents, briefing papers, reports and presentations
  • Review operating practices and implement improvements where necessary
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establish personal networks; participate in professional societies


Position Requirements:

  • Bachelor’s degree in business administration, office/administrative management, or a related area
  • Excellent knowledge of MS Office programs (Word, Excel, PowerPoint)
  • Exceptional written and oral communication skills
  • The ability to work under pressure and tight deadlines
  • Good organizational and time management skills
  • The ability to research, digest, analyze and present material clearly and concisely
  • Excellent interpersonal skills
  • Generally controls own work priorities
  • Honest and reliable
  • Discrete and will uphold confidentiality
  • Attention to detail
  • Flexible and adaptable with the ability to juggle a range of different tasks
  • Self-motivated, flexible and adaptable with the ability to juggle a range of different tasks
  • Professional presentation and appearance
  • Willingness and ability to travel when required
  • Fluent in English and Serbian
